Securing photography consent is now an essential, mandatory process in the early learning photography environment.
Many childcare photography companies are taking a proactive approach by gathering consent and registration simultaneously, instead of leaving this responsibility to the centres. This strategy showcases their professionalism in the industry, ultimately helping them secure more centres.
Are your procedures and explanations clear and ready for the centres you work with?
Have you simplified the process for centre directors and parents?
Are your records transparent and documented?

HOW
Simultaneous Consent and Parent Registration Strategy
This outlines the two steps we are teaching our partners to secure both parent consent and registration (obtaining parent email & number) for photography:
Strategy: Send communication (digital or physical flyer) to parents via the early learning centre.
Key Messaging:
Crucial Information: Your child will not be photographed without completed registration.
Urgency/Incentive: Ensure your child doesn't miss out on Photo Day!
Action Required: Registration must be completed before the scheduled Photo Day/Week.
Example

Parent is directed to a url with a registration code to register and give consent to photography

Parent adds their email and number

Confirmation of consent and registration emailed automatically to parent

Photography Day - Managing consent
Managing photography consent/registration on the day should be transparent, automated and easy for everyone involved.
Option 1 - Using QR codes to match data - untethered
Generate (automated) and present a list of subjects, categorized as registered or unregistered, to centre staff. This list will identify subjects eligible for photography. Staff should also be provided with an option to gain consent directly from the parents of unregistered subjects on the day.
QRApp will notify photographer which subjects have consent/registered
If consent is obtained on the day of the shoot, the photographer is able to update the status and must add details to the records.
The subject can then be photographed
Option 2. Tethered to Laptop for data matching and control
When using Photolink for tethered photography, a red 'X' indicates that the subject lacks the necessary consent or registration and therefore cannot be photographed.
If consent is obtained on the day of the shoot, the photographer is able to update the status and must add a note to the records.
